Position Overview

The Administrative Coordinator will manage the Reception Desk at Second Stage’s main office location and provide administrative support to various departments across the organization.

Essential Duties & Responsibilities

  • Receive and distribute inbound mail and packages
  • Coordinate outbound delivery of mail and outgoing packages
  • Manage the office postage meter
  • Answer the main office phone line, as well as distribute any messages or voicemails to the right person/department
  • Oversee the ordering and stocking of office supplies for the organization.
  • Manage staff snacks and refreshments for the organization
  • Assist in planning of staff celebrations
  • Support staff onboarding and offboarding activities
  • Coordinate service for the copy machine and/or any other shared office equipment, in coordination with the IT Dept and any outside service vendors
  • Assist in copying and binding scripts for rehearsals, readings, and workshops
  • Manage the conference room schedule and office phone/contact list
  • In conjunction with the GM, Artistic, Marketing, and Development Departments, assist booking/arranging press, house, Tony voter, and other company seats for Second Stage shows
  • Coordinate house seat requests for external, non-Second Stage shows
  • Perform other duties to support the organization, as assigned

Knowledge, Skills, & Qualifications:

  • At least 1 year of experience in an office environment
  • High level of accuracy and attention to detail
  • Strong organizational skills
  • Ability to manage multiple tasks and prioritize effectively
  • Strong computer skills and proficiency in MS Office Suite; experience with Tessitura or similar CRM/ticketing systems strongly preferred
  • Knowledge of the theater, particularly New York theatre, a plus

Work Environment

Time will be spent in an office with quiet to moderate noise level and occasionally in the theatre with often loud and amplified noises. The office environment requires using the computer, phone, and other routine office equipment. Majority of the work will be performed inside at room temperature.

Physical Requirements

Position requires long periods of sitting. While sitting in the office, employee is required to use hands, wrists, and fingers for keyboard and other office equipment. The employee may often use stairs throughout the day and walk throughout the theatres.

Hours of Work

This position’s regular working hours are 10 AM to 6 PM, Monday through Friday. This position is required to work 100% onsite / in-person.
