DESCRIPTION

The New York office of Frost Productions is seeking a Scheduling Coordinator who is based in New York or New Jersey to work on a full-time basis. This is a salaried position with benefits. This position reports directly to the Scheduling Manager.

Compensation: $62,400/ year

Position Responsibilities:

• Assist in scheduling all full-time, freelance and temporary labor in the field.

• Answer phone calls, reply to emails and provide general administrative support.

• Ensure accurate information is properly logged into the Frost Database.

• Review labor budgets and employee hours to schedule field personnel effectively.

• Generate onsite personnel lists and complete vendor clearance forms.

• Provide information regarding staff, vehicles, and security details to planners, venues, and government agencies.

• Work with temporary labor agencies to schedule field labor and finalize time sheets.

• Assist HR in the hiring process of new employees.

Position Requirements:

• Applicant will be required to work some nights and weekends (Team members rotate on-call coverage).

• Must be punctual, professional, positive, and have a respectful attitude.

• Must be a self-motivated and driven individual who can work independently.

• Experience thriving in a fast-paced environment and handling last-minute changes.

• Impeccable attention to detail and strong communication skills.

• Comfortable multi-tasking a high volume of complex and diverse tasks.

• The ability to both analytically and creatively problem-solve.

• General computer skills and email/phone etiquette.

Preferred Qualifications:

• Previous scheduling or administrative experience in an office setting.

• Bachelor’s degree in stage management/theatre, arts administration or related field.

• Familiarity with Microsoft Office Suite, including: Access, Outlook, Word and Excel.

• A love for people and working with others.

• A solutions-oriented mindset.

• A keen eye for detail and process improvement.

• An interest in special events.
