Title: Temporary Operations Assistant

Reports to: Stacy Waring, Operations Manager

Fee: $25 per hour, 20 hours per week

Start date: Immediately. This position will be through September 30th, with the possibility of extension.

Deadline: Position open until filled.

Location: 3 days per week, on-site at 47 Great Jones Street, 6th floor, NYC. Must be available to schedule hours between 10am - 6pm on weekdays.

Position Description:

PCC seeks a part-time, temporary Operations Assistant to support the Company over an initial interim period through September 30th, with the possibility of a permanent extension past this date. This role will support operations across all areas of the company. Some offsite work may be required.

Responsibilities:

The Operations Assistant responsibilities include:

MEETINGS AND CALENDAR MANAGEMENT

· Support meeting scheduling and update office calendar.

· Schedule and confirm bi-weekly staff meetings.

· Take notes at staff meetings and at other meetings as needed.

OFFICE MANAGEMENT

· Help organize physical office files

· Create inventory lists of supplies and equipment in office closet and storage units, and keep lists updated.

· Create a request and tracking system for office supply order needs for all staff to use. Place office supply orders, as needed.

· Coordinate recycling and upcycling of office supplies and equipment

· Ensure the office is organized and tidy

· Complete local administrative errands (post-office, copy shop, etc.)

FINANCIAL ADMINSTRATIVE ASSISTANCE

· Prepare petty cash payments, receipts and coordinate schedule with office cleaning staff

· Open mail daily

· Scan and send financial and administrative related correspondence to ARTS FMS

· Upload receipts and invoices to Air Table Financial Submission form

· Prepare and make bank deposits

OTHER

· Project management support for developmental workshops

· Coordinate and confirm studio rehearsal space rental requests

· Track comp ticket requests and communicate with box office staff for events and productions.

· Update donor contact and donation information in database

Qualifications Desired:

· Highly organized, reliable, detail oriented, and thorough

· Ability to complete designated tasks and follow directions with autonomy and efficiency

· Familiarity with Outlook & Microsoft Office, and Google platforms
