DESCRIPTION

POSITION OVERVIEW

The Operations Coordinator is responsible for the administrative support of the theater’s operations, including maintenance and repair, custodial service, front of house, and special events. This position has responsibilities that are occasionally in proximity to the public and or direct interaction with the public, as well as theater staff, artists, and service providers.

  • Assists in the organization and implementation of department initiatives and process improvements
  • Facilitates communication between operations staff members
  • Provides administrative support such as taking meeting minutes, scheduling, distributing documents, and processing facilities requests.
  • Communicates with contractors for work proposals, service appointments, product research, and any additional needs for the theater.
  • Performs regular building inspections to observe site conditions, note deficiencies, and report issues to the Operations team, additional staff, and Navy Pier staff.
  • Provides schedules with hours and assignments for the custodial staff according to building activity.
  • Communicates across all departments to coordinate activities, resolve issues or concerns related to building operations.
  • Manages space calendars for the theater’s performance, rehearsal, event, and meeting spaces.
  • Communicates special event information to support staff.
  • Creates and distributes performance calendars and monthly energy usage reports for Navy Pier staff.
  • Liaisons with Navy Pier’s parking contractor for theater related parking.
  • Maintains inventory control of supplies and places orders as needed.
  • Submits invoices for approval and tracks expenses for department.
  • Tracks preventative maintenance work for building equipment and systems.
  • Collaborates with other theater staff and Navy Pier to implement safety protocols, including emergency procedures, fire safety, and evacuation plans.
  • Works with the Operations Director to measure, monitor, and implement sustainability initiatives.
  • Assists with building access control; processes and distributes keys and keycards for staff, artists, and visitors as needed.
  • Responsible for receiving mail and packages from the Navy Pier mailroom and CST loading dock.
  • Helps ensure compliance with health and safety code requirements.
  • Participates in the on-call rotation for after-hours building needs.
  • Performs additional tasks as assigned, or in general service to the company.

ADDITIONAL DUTIES

  • Drives IDEA to Action platform by engaging in committees, events, training and other initiatives as needed.
  • Assists with monitoring of HVAC Building Automation System as needed.
  • Assists with monitoring of emergency systems.
  • Performs opening and closing procedures for building as needed.

WORK ENVIRONMENT

  • Evening, weekend, and holiday hours will be necessary.
  • Worksite is primarily at the CST facilities on Navy Pier in Chicago, IL but could at times work in other locations such as the CST Warehouse, City Parks and other off-site venues.

PHYSICAL DEMAND

  • Capable of performing physical tasks including but not limited to climbing, stooping, pushing, bending, kneeling, reaching, lifting, and moving up to 40lbs.

MINIMUM EDUCATION AND EXPERIENCE

  • Bachelor's degree and least three years of work experience (or at least five years of related work experience).
  • Prior administrative experience required.
  • Experience with multiple software and database programs; advanced proficiency with Windows Office suite essential.

SALARY

$45,000.00 – $50,000.00 per year
