EXECUTIVE ASSISTANT

Wagner Johnson Productions is a Broadway producing and general management company entering its seventh year. We work across Broadway, Off-Broadway, and the West End — and we love what we do. Our productions span new musicals, revivals, and straight plays, and our team is small, close-knit, and genuinely passionate about the art form and the artists we're all here to support.

We're growing, and we're looking for an Executive Assistant who wants to grow with us.

About the Role

This is a full-time, in-person role at our Times Square office supporting our two founding Partners — and it's a real seat at the table. You’ll be responsible for managing their time, protecting their focus, keeping them connected, and making sure things run smoothly even when (especially when) it's moving fast. You'll work closely with our Chief of Staff, and interact with everyone from our staff to agents, investors, artists, and some of the most talented people working in theater today.

This isn't a job for someone who waits to be told what to do. It's a job for someone who sees what’s needed and makes it happen — someone who is curious, dependable, discreet, and genuinely excited by the world of live theater and wants to learn about the producing and management side of the business. Someone who approaches each day with a sense of calm and healthy dose of levity.

Core hours are Monday through Friday 10am to 6pm with the expectation of flexibility when the business needs it . Given the nature of our industry — openings, productions, investor events — there will be times you're needed outside of those hours, and we'll always be thoughtful about how we ask for your time.

WHAT YOU'LL DO

Executive Support

The core of this role is helping the partners stay organized, on time, and focused. That means:

  • Managing complex, dynamic calendars across multiple time zones and competing priorities
  • Thinking ahead — flagging conflicts, proposing solutions, and understanding how the Partners' time is best used
  • Synthesizing context from email, Slack, text, and in-person conversations so Partners walk into every meeting prepared
  • Being the first point of contact for everyone who reaches out and everyone who walks through the door — from agents and investors to artists and industry executives — with warmth, professionalism, and good judgment about what needs the Partners' attention and what doesn't.
  • Drafting and responding to emails on behalf of the Partners when appropriate
  • Tracking action items and following up on open commitments
  • Managing RSVPs and attendance for industry events, openings, and social functions

Travel & Logistics

  • Arranging domestic and international travel — flights, hotels, ground transportation, and detailed itineraries
  • Coordinating multi-city trips involving production visits, investor meetings, and industry events
  • Handling last-minute changes and troubleshooting on the fly
  • Managing travel expenses and corporate card reconciliation
  • Coordinating production-related travel when Partners are visiting shows

Office Operations

  • Keeping the office environment professional, organized, and welcoming
  • Maintaining physical and digital filing systems in partnership with the Finance team
  • Managing incoming and outgoing mail, packages, and courier services
  • Overseeing office supplies, equipment, and pantry inventory
  • Coordinating with building management on maintenance and facility needs
  • Supporting off-site storage management alongside the Production and Management Assistants

Events & Meetings

  • Coordinating office meetings — room setup, catering, AV, and materials
  • Ordering meals and catering for internal meetings and company gatherings
  • Handling Partners' day-to-day errands: coffee, lunch pickups, package drop-offs
  • Supporting opening nights and industry events in partnership with the broader team

Administrative & Financial Support

  • Processing expense reports and receipts for the Partners
  • Tracking and reconciling corporate credit card transactions
  • Coordinating time-sensitive needs with production and accounting teams

Culture & Special Projects

  • Championing the company's values in how you show up every day
  • Supporting team and company events and morale initiatives
  • Contributing ideas for making the office run better

We're a company that's always building. When new needs arise, we look to people who lean in and take initiative rather than wait. You'll take on ad hoc projects, contribute ideas for how to work smarter, and coordinate with the Chief of Staff to make sure nothing falls through the cracks.

WHAT WE'RE LOOKING FOR

Required

  • Experience supporting senior executives or leadership in a fast-paced environment
  • Exceptional organizational and time-management skills — you can juggle a lot without dropping anything
  • A proactive mindset: you anticipate what's needed before being asked
  • Strong written and verbal communication skills, with professionalism and discretion
  • Sound judgment with confidential information
  • Calm under pressure and solutions-oriented when things move quickly
  • You’re a people person. You can connect with artists, agents, investors, and executives alike.
  • You work well with a variety of personalities and you don’t get ruffled easily.
  • Reliability and responsiveness, including flexibility when the job calls for it

Preferred (and honestly, exciting to us)

  • Experience in theater, entertainment, live events, or another fast-paced creative industry
  • Familiarity with the Broadway or live entertainment ecosystem
  • Experience with complex domestic and international travel coordination
  • Experience working with high-profile clients, artists, or investors
  • Comfort supporting small-office environments where everyone pitches in

Technical Skills

  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets, Drive)
  • Comfort managing communications across email, Slack, text, and phone
  • Experience with expense reporting and credit card reconciliation
  • Ability to pick up new tools and systems quickly

COMPENSATION & BENEFITS

Salary: $65,000 – $70,000 annually, commensurate with experience.
Full-time, in-person Based in New York City.
