About Perelman Performing Arts Center (PAC NYC)

Following 9/11, the community and civic planning process that resulted in the World Trade Center master plan in 2003 envisioned a new performing arts center as one of the anchors of the site. The Perelman Performing Arts Center (PAC NYC) opened in the Fall of 2023 realizing that plan and becoming the new home for emergent and established artists in theater, dance, music, opera, and multi-disciplinary performance from New York and the world in downtown Manhattan.

The role

PAC NYC is looking for an organized, driven, and mission-oriented Development Coordinator to assist in the coordination and support of PAC NYC’s Development team. This is an exciting opportunity to join a start-up team who are cultivating a network of donors and partners, providing a world-class stakeholder experience, and directly supporting the mission of PAC NYC. The Development Coordinator should have experience supporting a fast-paced fundraising team, including providing data management support, assisting with donor communication and delivery of donor services, and general administration and calendar support to senior team members.

Your key responsibilities

Development Data Management:

Work with DevOps to ensure impeccable donor data integration into Spektrix, including but not limited to biographical data, research, activities, correspondence, invitations, event attendance and engagement.

Ensure the timely completion of pledges, gift agreements, invoices and other official donor and partner documentation.

Provide assistance in maintaining up to date records for donor recognition and crediting for printed programs, website listings, and additional collateral.

Research donors and prospective donors and build executive briefs in advance of meetings and events.

Organize departmental files in a simple, open-source format that fosters organizational transparency and information sharing.

Donor Services:

Work with Directors, as well as Audience Services and MSRG, to fulfill donor requests related to tickets, restaurant reservations, and other experiences.

When required, provide front-facing, high-touch exceptional hospitality to support the execution of such requests (i.e. meeting a donor at the box office to hand off tickets).

Coordinate and schedule group tours for Member program, providing support and occasionally leading tours as needed.

Workflow Support:

Attend all department meetings, taking notes and recording action items.

Work within organizational software and processes to track progress and completion of tasks.

When appropriate, handle follow-up independently.

Donor Correspondence and Written Materials:

Assist with drafting eloquent, personalized, clear donor communications: emails, memos, proposals, and decks.

High proficiency in Word and PPT required; design aptitude a plus.

Calendar Management:

Manage the Donor Activities Calendar, working closely with Development leadership, the Events Coordinator, and across departments, to identify, schedule and track all donor events, opportunities, and communications in a cohesive, real-time format that integrates with institutional CRM (Spektrix).

Additionally, provide scheduling support for the department.

General Support:

Be prepared to serve as “generalist” and pitch in on projects and initiatives as needed.

Reconcile monthly credit card reports to ensure accurate record-keeping for the finance team and support departmental budget management.

This position will remain open until a diverse and qualified pool of finalists has been identified.

What it takes to be successful in the role:

  • 2+ years in a coordinator role, ideally supporting a fundraising team.
  • Strong interpersonal and relationship-building skills.
  • A team player who doesn't look at any task as too small.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and meet deadlines.
  • Proficiency in using donor databases and CRM software, such as Spektrix.
  • Detail-oriented with strong organizational skills.
  • Passion for the performing arts and a commitment to PAC NYC's mission.

Compensation and Benefits

Annual salary will range between $55,000 and $65,000 plus full benefits. Our benefits package includes health, dental, vision, life, accidental death and dismemberment and disability benefits, and self-insured dental, vision and health care and dependent day care flexible spending accounts. Full time employees are eligible for paid time off and 401K enrollment with employer match.
