POSITION: Development Coordinator

CLASSIFICATION: Full-time, Year-round

STATUS: Exempt

REPORTS TO: Assistant Director of Development

LOCATION: New York City, NY

COMPENSATION: $50,000 - $60,000 per year


JOB DUTIES:

Individual Giving

- Assist the Development team in planning and executing semi-annual fundraising appeals
- Oversee communication and fulfillment of donor benefits including serving as ticket concierge for certain donors and other VIPs
- Coordinate the administration of donor prospecting and moves management activities
- Support expansion of donor base through prospect research and strategic cultivation
- Field communications with current and prospective donors and elevate as appropriate
- Maintain up-to-date donation acknowledgements and communications for giving across all platforms (automatic emails, hard copy letters, confirmation letters)


Special Events

- Help plan the Festival’s annual fundraising Gala from concept to execution
- Develop and maintain an accurate calendar of events and assist in planning and executing these events


Institutional Giving

- Support WTF’s institutional giving activities by maintaining the institutional giving pipeline, supporting on select grant applications, tracking institutional pledges, and completing select funder reports


Data Management and Integrity

- Serve as a lead administrator for the Festival’s fundraising database in Patron Manager, including data cleanup, following up with donors to correct inaccurate data, and implementing innovative solutions to data management challenges
- Track contributed revenue and generate reports on behalf of and for the Development Office: these include monthly cash and pledge allocations, special event income, contributed revenue information for grant applications, and campaign reports. Produce financial reports for auditors.


Other Duties

- Embrace the Festival’s commitment to EDIA and Anti-Racism by actively participating in and encouraging behaviors among staff members that exemplify respect; interrupting microaggressions and other behaviors that hinder our EDIA and Anti-Racism efforts; engaging in the diversification of the workforce; demonstrating a degree of cultural competency that encourages healthy relationships with all company members
- Responsible for the accurate processing, timely acknowledgment, thorough pledge tracking, and detailed reporting of all donations to WTF
- Maintain Board of Trustee records and an annual calendar of Board and committee meetings, and coordinate relevant meeting communications and logistics
- Lead the hiring and supervision of summer Development staff
- Expected to exercise discretion and independent judgment with respect to matters of significance
- Other duties as assigned


QUALIFICATIONS:

- Experience with various fundraising techniques, including major gifts, annual giving, events, and grant writing.
- Exceptional written and verbal communication skills
- Proven ability to adapt creatively and effectively to new challenges
- Attention to detail in managing donor records, gift processing, and reporting.
- Strong interpersonal skills with the ability to interact effectively with diverse individuals
- Competence in handling multiple projects and prioritizing effectively
- Proficiency in Google Workspace and familiarity with PatronManager or similar CRM databases
- Commitment to confidentiality and maintaining sensitive information
- Ability to work select nights and weekends


Compensation & Benefits Package

Compensation range is $50,000-$60,000. Benefits package includes 10 days of vacation time; 10 days of office holidays, not including 1 week in August and the days between Christmas and New Year’s; health and dental insurance with employer contribution; option to contribute to 403(b) after 1 year of employment with employer contribution; and summer season housing provided.

Working and Living in Williamstown

Williamstown Theatre Festival’s season takes place on the beautiful campus of Williams College in Williamstown, MA with backdrops of the Berkshire, Green, and Taconic mountain ranges. Williamstown, MA (estimated pop. 7,813) is located in Berkshire County (estimated pop. 128,657) in Western Massachusetts and is an hour’s drive from Albany, NY and 30 minutes from Pittsfield, MA.


The Williams College campus and the 62’ Center for Theatre and Dance, where the Festival produces its season, are within walking distance of Spring Street, which has several restaurants with dine-in and takeout options, a pharmacy, a coffee shop, an ice cream shop, a movie theater, and several stores. The nearest grocery store is a 10-minute drive from campus and not within walking distance. Having a personal vehicle does provide more flexibility in grocery-shopping and expands dining and activities options. For those who bring vehicles, parking is free at designated locations on Williams campus with a parking pass. All seasonal staff are provided housing free of charge on campus at Williams College. Housing is dorm-style with private bedrooms and shared common areas, including bathroom and kitchen. Williams College housing is not air-conditioned. Weather ranges from evenings on the cooler side but can also be quite warm with temperatures in the 90s with high humidity.
