LMCC is Manhattan’s Arts Council—a dynamic non-profit organization with a 50 year history of supporting and connecting artists and communities throughout Manhattan.
Founded in 1973, LMCC serves hundreds of artists and tens of thousand of audiences each year through robust Re-granting and Artist Residency Programs as well as a dynamic calendar of free public art events throughout Manhattan and at the Arts Center at Governors Island—a 40,000 square foot arts center that is activated year round with public programs and art exhibitions.
We are a 20 person team of passionate and devoted arts leaders and administrators, providing funding, studio and rehearsal space, professional development, and leadership in cultural planning and advocacy. All activities and operations are supported by a $6M budget and the leadership of an engaged Board of Directors.
ABOUT THE ROLE
The Development Assistant is a full time non-exempt role and a key part of LMCC’s Institutional Advancement team with primary responsibility for supporting the development team’s administrative operations and events. The Development Assistant will also work closely with LMCC’s President and the Director of Institutional Advancement on all administrative aspects pertaining to LMCC’s Board of Directors, acting as a main point of contact to the Board members. The Assistant will work closely with the Institutional Advancement team to support the department with all day-to-day functions.
DUTIES AND RESPONSIBILITIES:
The Development Assistant is responsible for the following tasks and projects in addition to any other work as assigned by their manager, the Director of Institutional Advancement:
Development-Specific Duties and Responsibilities (75%)
Processes all contributed income on a weekly basis, including grant payments, donations, sponsorships, and in-kind support from all stakeholders. Records all income in Salesforce and prepares and sends donation acknowledgement letters.
Acts as a main, organization-wide point of contact for the Salesforce database, and provides integral data support, including donor record upkeep, list management and analytical reporting, with a focus on pristine data integrity.
Works closely with the Director of Institutional Advancement, Grants Manager, and Institutional Advancement staff on the implementation of LMCC’s fundraising events, including the annual gala, The Downtown Dinner. Duties include:
Liaising with vendors and tracking guest contributions and RSVPs
Supporting all aspects of guest and production logistics, including check-in lists, seating, and honoree correspondence
Assisting with day-of logistics, including event setup and strike, vendor and guest liaisons, etc.
Conducting research on prospective and current supporters
Supports the Director of Institutional Advancement and IA staff in the implementation of all direct-mail and email campaigns for individual and Board donors, including the annual calendar and fiscal-year-end appeal campaigns:
Assists in developing the mailing theme, language, and design
Prepares all mailing logistics, creates and maintains solicitation lists
Tracks giving and communicates directly with donors to facilitate payment
Tracks expenses for all campaigns, as necessary
Provides key administrative support to department staff, including maintaining and updating contact details for grant portals, submission of any grant compliance materials, scheduling meetings, preparing materials and correspondence, and reconciling income and expenses with the Finance and Operations department on a regular basis.
Executive Department-Specific Duties and Responsibilities (25%)
Provides scheduling / calendaring support for LMCC’s President and facilitates communications between the President and internal / external stakeholders as needed.
Facilitates communication with LMCC’s Board of Directors including scheduling of committee meetings, all sub-committee and task force meetings, and Board meetings.
Coordinates all logistics for board meetings and receptions including creating agendas and information packets, managing hospitality, and ensuring the smooth execution of the meetings and events.
Assists in matters pertaining to Board compliance such as Conflict of Interest forms, special votes for authorization, annual elections/ballots. Role is expected to attend all Board meetings and take minutes.
Schedules meetings with prospective Board candidates as well as existing Board members to request support.
Prepares packets for new Board members and other packages related to Board cultivation as needed.
QUALIFICATIONS:
Familiarity with Microsoft Office, Internet, Salesforce (or other CRM database), Mailchimp, and Google Suite
1-2 year(s) experience in nonprofit administration, marketing or fundraising. Bachelor's Degree preferred.
Excellent organizational and written skills with the ability to multi-task and stay focused, with keen attention to detail.
Excellent time management, task prioritization, and efficiency.
Strong interpersonal skills, including the ability to communicate professionally, effectively, and discreetly with donors and colleagues.
Specific experience in database management, financial reporting, correspondence, and contact management is a plus.
COMPENSATION
The salary for this position is $48,000.00 and includes an attractive benefits package including health coverage, dental and optional vision plans, life insurance, four (4) weeks of annual vacation, plus generous personal and sick days. Health benefits begin three (3) months after the first date of employment.
We maintain a hybrid work schedule, requiring Tuesday - Thursday in-office at the Arts Center at Governors Island with remote work on Monday & Friday. This is an exempt position and will require night and weekend availability.
