JOB SUMMARY

Stage Directors and Choreographers Society (SDC) seeks a full-time Administrative Assistant to act as the front desk receptionist and assist in the day-to-day office administration and functions of the national union representing stage directors and choreographers. This position will provide general administrative, operational, and clerical support to ensure high functioning and efficient office operations for SDC, as well as some support to related organizations, the SDC-League Pension & Health Funds (SDC-League Funds) and the SDC Foundation (SDCF)

DESCRIPTION OF JOB DUTIES

• Open the office each morning at 9:30am.

• Greet and direct Members and/or guests as they arrive for appointments.

• Manage incoming and outgoing mail and packages, including facilitating the scanning, copying, and processing of all incoming mail in accordance with the procedures set by the Union as well as the SDC-League Funds and SDCF.

• Maintain phone system directory and messaging for automated switchboard, and act as operator of SDC’s main telephone line, answering phones, transferring calls, and taking messages.

• Keep office equipment in working order including conference room A/V, telephone system, copy machines, postage machine, and kitchen appliances, interfacing with vendors and building Superintendent as needed.

• Maintain inventory of office equipment and technology and records of vendor contact information, manuals, and purchase and service information.

• Place maintenance request with our building Superintendent and our HVAC vendor. The Administrative Assistant will troubleshoot facility related matters including pest control and cleaning services.

• Ensure office is complaint with the building’s fire safety regulations, acting as a liaison between staff and building management with respect to all safety drills and building policies.

• Work with third-party technology vendor to troubleshoot tech related matters.

• Manage inventory and ordering of all office, café, and meeting supplies.

• Place food and beverage orders and coordinate delivery and setup for meetings and events.

• Manage inventory of records kept at off-site storage and coordinate delivery and pickup with Iron Mountain.

• Monitor COVID-19 Office Safety Protocols, including stocking of personal protective equipment (PPE), screening guests, keeping the café and conference rooms clean and orderly, and reporting any safety concerns to the COVID-19 Safety Officer.

• Manage conference room reservations, maintain meeting and office calendars, set up conference rooms for scheduled meetings.

• Plan logistics for in-person events and meetings.

• Support Artistic Affairs department with new member onboarding processes and outreach.

• Assist with house seats requests.

• Represent SDC and serve as an advocate at internal events and external industry events as necessary.

• Support the building of SDC’s new website and relationship with our Web Master and Special Projects Manager.

• Support with Member billing collections.

• Fulfill special projects as assigned.

EXPERIENCE AND SKILLS REQUIRED

• Two or more years of administrative assistant experience

• Strong administrative and organizational skills with exceptional attention to detail.

• Interpersonal skills – enjoy working with people.

• Software skills – Microsoft Office Suite (Outlook, Word, Excel), Google Suite, WordPress, social media platforms, Zoom.

• Audio/visual software experience helpful.

• Ability to multitask and work effectively within time constraints.

• Ability to maintain confidentiality.

• Some writing skills and interest in theatre is a plus.

• Ability to move objects weighing up to 25lbs.
