Production & Finance Coordinator
Reporting directly to the Managing Director and Production Manager, this position will support implementing the mission and programs of St. Ann’s Warehouse. This position is ideal for someone savvy, insightful, disciplined, organized with a strong interest and experience in cultural programming and arts administration who seeks to take an essential support role in the heart of a nonprofit theater. Experience in the field with related expertise in performance, event production and/or logistics, a MUST. This position is on-site 5 days per week, with nights and weekends as needed.
Responsibilities include:
Production & Facilities
Update daily payroll expenses into production books and communicate overages to PM
Coordinate and track crew booking with PM
On occasion, act as production assistant on shows
Process Account Payable requests for production & facilities expenses.
Track production expenses in all production books and budgets.
Assist PM in producing weekly reports on actual expenses for each production
Errands as assigned
Artistic
Process quarterly music licensing reports
Review and manage info inbox
Schedule meetings for Artistic Leadership
Book & manage all travel for Artistic Leadership
Assist artistic team with special projects, including research, organizational archives, book and programming projects, and others as assigned
Finance
Enter and maintain Accounts Payable process
Complete monthly bank, credit card, and balance sheet reconciliations while monitoring transactions daily
Monthly Donation and Box Office reconciliations to Spektrix
Enter and record daily transaction activity in Quickbooks Online (QBO)
Qualifications:
1-3 years related experience in an administrative capacity, preferably in film, the performing arts or non-profit setting
Bachelor’s degree required; study in the arts, business, or a related field desirable
Excellent analytical skills and be highly organized and self-motivated
Highly collaborative and-well organized, excellent written and oral communication skills
Requires high level of confidentiality, initiative, diplomacy, and flexibility
Excellent working knowledge of Microsoft Office and Google Workspace are a must

This is a full-time, salaried non-exempt position with benefits. Salary $50,000-$60,000
