Position Title: Producing Assistant, No Guarantees
Location: New York, NY (Hybrid/Onsite as required)
Reports To: CEO, President, and Artistic Producing Team
Status: Full-time, Non-Exempt


About the Role

The Producing Assistant plays a vital role in supporting the development and production of plays, musicals, and other theatrical projects. This position requires a sharp, self-directed, and motivated fast-learner who thrives in a fast-paced environment and excels in managing multiple priorities. The ideal candidate exhibits outstanding organizational skills, sound decision-making, and strong problem-solving abilities. They must be proactive, detail-oriented, and passionate about developing, implementing, and maintaining effective processes.

Working closely with senior leadership and the broader production team, the Producing Assistant ensures seamless administrative operations and contributes to the smooth execution of both creative development and production workflows.


Key Responsibilities

Administrative & Executive Support

  • Provide overall scheduling and administrative support to the CEO and President.
  • Provide administrative support and occasional scheduling support to the Senior VP of Artistic, VP of Artistic and Chief of Staff.
  • Coordinate travel arrangements for President, Senior VP of Artistic and VP of Artistic.
  • Reconcile staff expenses and track submission deadlines.
  • Assist with project research, document preparation, proofreading, and meeting coordination.

Production & Development Support

  • Assist the Chief of Staff and Production Coordinator with logistical and administrative tasks across productions, rehearsals, and events.
  • Support the tracking of project timelines, rehearsal schedules, and production milestones.
  • Manage script distribution, version tracking, and maintenance of production/development binders and archives.
  • Support interdepartmental communications and follow-up on production-related tasks.

HR, Compliance & Administrative Deadlines

Oversee and help maintain timely completion of administrative and compliance requirements, including:

  • Healthcare paperwork
  • 401k filings
  • Tracking PTO, comp days, and related documentation
  • Coordination with the central office on HR trainings, required postings, and procedural updates

Office Operations & Facilities Support

  • Perform all office management tasks to maintain a functional and professional workspace, including:
    • Ordering and stocking supplies
    • Maintaining office files and overhead paperwork
    • Tracking and assisting with cleaning needs
    • Liaising with building representatives
    • Supporting design, décor, and furnishing needs
  • Serve as a point of contact for facility-related issues and ensure follow-through on resolutions.

Qualifications & Skills

  • Bachelor’s degree or equivalent experience in theater, arts administration, producing, or related field.
  • Strong organizational skills with the ability to manage multiple concurrent deadlines.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality, exercise good judgment, and anticipate needs.
  • Proficiency in Google Workspace, Microsoft Office, and project management tools.
  • Comfortable working independently and collaboratively.
  • Flexibility to work evenings or weekends based on production schedules.

Compensation & Benefits
