Position Summary:

Playwrights Horizons seeks a collaborative, passionate, and self-starting individual to line produce the 2026 Spring Gala. The Gala Producer works closely with Playwrights Horizons’ Director of Development, Managing Director and Artistic Director to plan and execute all aspects of the Gala including but not limited to; overseeing gala day-of director, scheduling, budgeting, performer, artist and designer communications, and venue/vendor communications. The Playwrights Horizons 2026 Gala will be held on Monday, April 13, 2026 with a guest list of approximately 400 people.


Key Responsibilities:

-Meet weekly with Playwrights Horizons Staff starting in early January, and then more regularly starting six weeks prior to the event.

-Manage event budget, expense tracking and reporting.

-Manage vendor relationships and act as the liaison between venue and Playwrights Horizons.

-In collaboration with gala’s Director, coordinate with script writer(s) and video production to ensure message consistency and deadline adherence

-In collaboration with the gala’s Director, coordinate all aspects of needed performance rehearsals including space and equipment

-In collaboration with the gala’s Director, ensure that the three gala playwrights have the information they need for the night of the event (ex: arrival time, dress code, +1s, who to meet and where to go, what’s required of them and when over the course of the night, how the quick rehearsal will go, etc).

-Collect speech materials and work in collaboration with artistic department and script writer(s) to build cohesive story for night

-Coordinate with Development Team to ensure collection of all sponsor information and program needs

-Ensure contracts to vendors and performers are issued and payments made on time.

-Act as a liaison between the Playwrights Horizons’ Director of Production and General Manager, and the venue/vendors to prepare for smooth and efficient load-in and strike at the venue the day of the event.

-Collect technical and personal requirements for performers and hosts involved in the Gala, and coordinate the fulfillment of those needs with vendors and Playwrights team.

-Line produce all aspects of event day of, including providing run of show timing, and overseeing performances and run-of-day activities with all participating vendors, staff and artists.

-Oversee gala Director to ensure day-of coordination runs smoothly

-Work with the Development Department to determine staffing needs for the event.

-Work in collaboration with Playwrights Horizons staff to communicate and execute any requests of the performing artists for the day of the event;

-Distributing any gifts to the performing artists involved in the event.


Required Skills:

-Interest in collaborating and working closely with Playwrights Horizons Staff.

-Previous line producing, stage management or event producing experience required

-Ability to juggle multiple tasks and reprioritize within a rapidly changing environment

-Self-starter, organized, disciplined and highly detail-oriented

-Excellent interpersonal skills and ability to work both individually and as part of a team

-Excellent oral and written communication skills

-Flexible personality with a sense of humor strongly preferred.

Salary:

This is an independent contractor role that pays a flat fee of $7,600. This is a remote position with in-person work as needed, in particular the week before the gala
