We are looking to onboard an Executive and Office Assistant to our New York office, based by Union Square. The role is integral to the success of our US team, and is supported by an operations team spanning our 5 offices. We are a low-ego group who champion self-starters. The role is a full time position, requiring 4 days a week in office.

Key EA responsibilities:

  • Complex calendar management for Partner and Principal colleagues across time zones

  • Proactive travel booking in line with company policies, and managing busy travel schedules

  • Extensive and efficient email correspondence with regular communication updates

  • Acting as a liaison between the Partners/Principals and internal stakeholders and external partners

  • Preparing expense reports

  • Helping to schedule and manage NYC team-wide meetings and offsites

  • Work in close collaboration with Northzone’s EA team and office managers across global offices

Key Office Assistant responsibilities:

  • Ensuring all guests are welcomed into the office

  • Proactive meeting room scheduling and preparing/clearing rooms for meetings when required

  • Overseeing office supplier relationships: cleaning, plants, coffee, stationary and other office supplies, general facilities management, ensuring stock is ordered and issues are dealt with quickly

  • Working with our building management company to rectify any office issues in a timely manner

  • Basic IT & computer setup support alongside external IT providers

  • Overseeing catering & venue booking for team meetings

  • Collaborating with the events team on day-of execution

Essential requirements:

  • No previous experience in finance or VC required. Many of our own team came from other industries - including our previous EA/OM, who worked in theatre before joining us. In fact, actors and artists have many of the below traits - everything else can be taught.

  • Excellent written and verbal communication skills

  • Competent with GSuite & Microsoft Office

  • You take initiative and thrive without needing close management

  • Excellent organizational and time-management skills, with the ability to prioritize, multi-task, and meet tight deadlines

  • Detail-oriented, focused, and responsive

  • Exceptional interpersonal skills and positive attitude: strong social skills are core to our success

  • Operate with the highest degree of integrity, confidentiality, a proactive, solution-oriented mindset.
