The Hermitage is a leading national arts incubator and multidisciplinary artist retreat uniquely serving artists, the creative process, and the community. Position Overview
The successful candidate should be passionate about having a role in a fast-paced, energized, and rapidly growing arts organization that is looking to make a significant and sustainable impact in both our community and the national artistic landscape. In recent years, the Hermitage has significantly increased its revenue, staff, and programming; introduced dozens of new partnerships throughout Sarasota County and across the United States; and expanded its national and international commission initiatives.
The job requires a high standard of excellence in project management, vendor coordination, and facilities oversight, with an appreciation and attentiveness for hospitality. Reporting to the Managing Director, this role requires exceptional organizational skills, plus the ability to multitask and balance a steady stream of detail-oriented and deadline-driven projects. This is a full-time, on-site position in Sarasota County, Florida, working closely among a team of passionate, driven, and high-performing professionals. JOB DESCRIPTION:
The Hermitage campus currently consists of multiple properties on Manasota Key, including a number of historically designated buildings, located on environmentally sensitive Gulf-to-Bay land. This position is accountable for managing all aspects of the campus and facilities to ensure the safe and rewarding experience of the artists, staff, and audiences. This includes the ongoing upkeep and maintenance of the grounds and buildings for over 100 artist residencies per year; the smooth operations of office systems and technology platforms; the safety of the artists in terms of security and clean working environments; managing complex construction and campus improvement projects/budgets (while adhering to any applicable historical and ecological guidelines); overseeing the upkeep and environmental issues of the grounds; and being the key contact for all issues related to facilities, maintenance, and insurance (and related financial matters).
PRIMARY RESPONSIBLITIES:
· Oversees all facilities management, routine maintenance and repairs, building improvements, landscaping and grounds projects, and campus inventory.
· Accountable for the smooth and effective daily operations of the organization as it relates to facilities, campus grounds, utilities, and office systems.
· Supports all equipment and technical needs for the offices, artist facilities, and community programs.
· Engagement and oversight of key support vendors (contractors, landscapers, event and production ‘crew,’ etc.)
· Ensures all property, safety, and insurance policies and procedures are current, up to date, properly filed, and fully implemented.
· Develops a grounds maintenance schedule and manages contractors to that schedule.
· Ensures the campus and facilities are prepared for storms and hurricanes; oversees damage mitigation and campus restoration following notable weather incidents.
· Oversees maintenance and repair for all company vehicles.
· Manages facilities and grounds emergencies (including off-hour emergencies).
· Ensures the timely and thorough reporting for Hermitage senior leadership, as well as applicable government and oversight agencies.
· Supports Hermitage programs and special events (typically 1 to 2 evenings per week), most notably with regards to the physical setup, strike/teardown, and audience management for each event.
· Manages and maintains all technology platforms, licenses, and equipment for the organization, including software, databases, connectivity, procurement of equipment, assignment of office resources, etc. (Includes oversight of any third-party IT and web support.)
· Supports financial operations and records for the organization with regards to the above duties, ensuring timely and accurate payments of invoices, clear communication with our bookkeeper, and preparation of budgets or financial reports in various formats.
· Providing regular reports and updates for senior leadership of the organization.
· Special projects, as assigned.
QUALIFICATIONS:
· Significant experience with organizational, managerial, and problem-solving skills.
· Complex project management experience. (Experience with project management for construction and building projects a plus.)
· Excellent written and oral communication skills; ability to manage a steady stream of email and phone communication.
· A pride of excellence and careful attention to detail in all aspects of work.
· 5+ years of demonstrated experience in more than one of the following operational areas: facilities and property management, event and hospitality management, systems and technology operations, and project budgeting.
· Overall knowledge and/or experience with the maintenance and property management needs for facilities and grounds, i.e., landscaping, irrigation, plumbing, etc. (need not be an expert; management skills plus a general knowledge and ability to learn are acceptable)
· General knowledge of computer systems and technology suited to a growing company.
· The ability to make quick decisions with regards to safety of people and preservation of equipment and property.
· Excellent interpersonal skills as a team player; at ease with a wide range of constituents.
· Entrepreneurial, with high level of personal initiative, integrity, and positive energy.
· A sense of “hustle” and a “can do” attitude. This individual is responsible for finding creative solutions and workarounds.
· Clear communication and diplomacy with government and community agencies.
· Proficient with management software, including database, communication, and event management programs.
· Solidly proficient with Microsoft Office (Excel, Word, etc.) and Google Drive/G-Suite applications.
· A passion for the Hermitage Artist Retreat’s mission, vision, and values.
· Bachelor’s degree, and/or equivalent.

Please note: This is a full-time, on-site position; non-local candidates would be expected to relocate to the region. Housing is not provided.
Salary and benefits: Salary commensurate with experience. The Hermitage offers competitive health benefits, along with a matching IRA program. A relocation bonus may be provided, as appropriate.
