Overview:
The Associate project manager will work alongside the NY Senior Project Manager serving our clients in the NYC and surrounding area. The Associate Project Manager will deal with clients and employees on a day to day basis and support the Senior Project manager on larger projects. This position will require strong written and verbal communication skills with a wide variety of personalities and should have an understanding and background in live entertainment production either in Theatre, Events, Construction, or other live entertainment experiences. Attention to detail and clear communication will be the keys to success in this position. Responsibilities and Duties:
This position is responsible for ensuring that project staffing is carried out in a professional and efficient manner and in accordance with Odeum’s project management practices. You will visit job sites, attend project meetings and interact with installation crews, contractors and customers on a daily basis.
The major responsibilities of this position are the following:
Project Support: Assist the Senior Project Manager with all phases of project work, including client meetings, correspondence, and ensuring project requirements are met.
Crew Coordination: Call and coordinate crew members, maintaining professionalism and comfort in phone, email and text communications.
Operational Efficiency: Enhance day-to-day operations by ensuring clear communication with internal and external parties and participating in process improvement initiatives.
Contract and Compliance: Review and adhere to labor contracts, maintain compliance with NDAs, and follow guidelines for public and private agreements.
Procurement and Data Analysis: Manage project-specific procurement of gear and supplies, oversee vendor interactions, and analyze job performance data to inform decision-making.
Communication and Documentation: Facilitate clear communication between staff and management, prepare reports, update tracking systems, and accurately record meeting minutes and action items.
Site and Client Support: Provide on-site supervision as a non-working lead, assist in new business pitches, and ensure new clients are effectively onboarded.
Business Development: Track new business prospects, ensure they are followed up with appropriately, and support the creation and presentation of new business decks.
Flexible and Remote Work: Work effectively in remote environments, maintain flexibility with hours, and support operations during holidays or weekends as needed.
Qualifications and Skills:
(2 - 3 years experience working in live entertainment either on production, onsite, in a shop or other similar experience
Proficient in Google Workspace and Google Sheets, with experience in creating and managing complex spreadsheets; skilled in using Google Workspace (Docs, Sheets, Slides, Drive, etc.) for collaborative projects and efficient workflow management.
Excellent communication, interpersonal skills and professionalism
Proven ability to efficiently manage multiple complex projects, prioritizing tasks, adapting to shifting demands, and ensuring progress with initiative, resourcefulness, and problem-solving expertise
Thrives in a collaborative environment, contributing proactively to team efforts while maintaining independence and accountability.
The following experience(s) are a plus:
Experience as a junior or assistant production manager or production coordinator in commercial scenery or lighting shop, event or staffing agency or similarly related commercial construction or other field
Bachelors degree in related field
Bilingual, Spanish and or French
Experience with any of the following platforms/ apps: Nowsta, Pipe Drive, Open Phone, Slack

The anticipated salary range for this position is $50,000-$60,000. An employee's salary is determined by a range of factors including but not limited to relevant experience, qualifications, skills, seniority, geographic location, performance, and business or organizational needs. The range listed is one component of Odeum's total compensation package for employees. Other rewards may include medical, 401(k) matching, paid time off, and other benefits.
